]]>Between 11:17 UTC and 15:21 UTC on 22 June 2021, Vtiger DNS experienced a service availability issue. This resulted in customers being unable to resolve domain names for services they use, which resulted in intermittent failures accessing Vtiger services. Due to the nature of DNS, the impact of the issue was observed across multiple regions. Recovery time varied by service, but the majority of services recovered by 14:15 UTC.
Vtiger DNS servers experienced an anomalous surge in DNS queries (possible DDOS attack) from across the globe targeting a set of domains hosted on Vtiger. In this incident, one specific sequence of events exposed a code defect in our DNS service that reduced the efficiency of our DNS server. As our DNS service became overloaded, DNS clients began frequent retries of their requests which added workload to the DNS service. Since client retries are considered legitimate DNS traffic, this traffic was not dropped by our volumetric spike mitigation systems. This increase in traffic led to decreased availability of our DNS service.
The decrease in service availability triggered our monitoring systems and engaged our engineers. Our team restored DNS services by enabling backup DNS and recovering the existing infrastructure by 15:21 UTC. This recovery time exceeded our design goal, and our engineers prepared additional serving capacity and the ability to answer DNS queries from the volumetric spike mitigation system in case further mitigation steps were needed. The majority of services were fully recovered by 14:15 UTC. Immediately after the incident, we updated the logic on the volumetric spike mitigation system to protect the DNS service from excessive retries.
We apologize for the impact to affected customers. We are continuously taking steps to improve the Vtiger Platform and our processes to help ensure such incidents do not occur in the future. In this case, this includes (but is not limited to): Repair the code defect so that all requests can be efficiently handled in cache. Improve the automatic detection and mitigation of anomalous traffic patterns. Please reach support team, if in case needed.
Update: We wanted to point out that no data breach has occurred during this issue and we continue to closely monitor our service.

These attacks delayed or prevented requests going to and from the vtiger.com, causing direct disruption to our website users. Following these incidents, we have been working around the clock to gather the facts and post mortem the incident.
During this attack backup login site “https:/login.vtiger.com” and alternate website was used by customers and team. To address the issue we implemented DDOS mitigation techniques like rate limiting, limiting the no. of connections, and IP blacklisting to mitigate the risk and to regain the control.
Following this incident we took lessons to address all the associated risks to prevent future disruptions such as (conduct timely drills, introduce better monitoring at layer7,...)

Cause: While performing a scheduled task during non-peak hours that needed changes in the Europe-Frankfurt region service firewall, Due to human error one of the firewall rule was deleted from the system, which was responsible for HTTPS traffic flow on 443 port.
Resolution: As soon as it was known in the investigation that issue occurred because of the firewall restriction, the configuration was changed immediately to allow normal traffic to flow across servers and login is working again as expected. Single Sign-on helps users to login once and access all the services. The administrator can control the services the users can access to improve security and safety. Vtiger now provides single sign-on with any SAML based Identity Provider along with Google.

]]>Internal tickets will allow employees to raise issues pertaining to IT, facilities, payroll, etc. It will eliminate the needs for a separate service desk and reduce silos. Tickets can be routed to the right departments and dedicated SLAs can be configured based on urgency of issues. Employees need to be added into the system before they can raise issues.
The Employees module will allow you to capture all of your employees’ information in Vtiger. It is primarily used by the Internal Help Desk module to allow employees to raise issues internal tickets. While every user of Vtiger will be an employee, the opposite need not be true.

Global search misbehaving was tracked down due to new user addition in the CRM. We are in the process of tracing path how this issue crept in.

Search within list views is working fine. For example, if you are looking for a contact by email address or name or any field, you can still do it from the Contacts > All list.

Update - To bring the service back up to the full speed as soon as possible, we are forced to go to Plan B. That is, we will have to suspend access to your account while we do the migration. We will stop access at 1:15 AM US EST. We are not sure how long the process will take. We are hoping to complete this within 4 hours.
We have been working with Amazon team, and all the options we tried were not successful. Amazon team has shared that EBS volume tried to repair itself after it encountered the issue, but they don't know why the drive did not return to normal operation. Amazon has escalated it to their Service team. We are not pleased with the level of support we got from Amazon, and will review other options in coming weeks.
Locking users out during business hours is something we never have done in the past. In this particular situation, we have exhausted all options. We understand that this will cause a loss for your business, and will try to do our best to bring the service back as soon as possible. .
